Preparing Outlet Files for an External Reporting Team
A practical checklist so your kitchens hand over clean exports the first time, whether you work with us or another reporting partner.
External reporting teams move faster when each outlet uses the same file names and date ranges. Chaos arrives when one kitchen exports calendar months and another sends rolling four-week windows that do not align.
Agree the period dates in writing before anyone exports. Ask for CSV or spreadsheet files, not screenshots. Include outlet name, period start, and period end in the file name. Keep a single folder per period rather than scattering attachments across chat threads.
Labour hours need the same care as sales. Specify whether breaks are included and whether salaried managers appear in the hours total. Mixed definitions across outlets make group labour charts misleading even when every file looks tidy.
Finally, name one person at group level who confirms that all outlets have submitted. Without that role, the reporting team chases five kitchens separately and the close slips by a day or two every period.
